Position Summary
At Blackstone Medical Services, the Logistics Representative plays a critical role in
ensuring the smooth and efficient flow of documentation and communication between
internal departments, external sales teams, and healthcare providers. This role is vital
in maintaining the accuracy, timeliness, and quality of patient-related documentation
and logistics operations.
Key Responsibilities
• Fax Reception and Classification:
o Review and sort all incoming faxes, ensuring correct routing within the
system.
o Classify documents into relevant categories such as new orders, CPAP
equipment documentation, additional requirements, or updates on
existing cases.
• Document Review and Processing:
o Assess documents in the logistics inbox to determine the type and status
of each order.
o Process and input information accurately to ensure all documentation is
complete, legible, and properly formatted for order progression.
• Coordination with Outside Sales Reps:
o Communicate actively with external sales representatives to request
missing information, clarifications, or document corrections.
o Notify relevant team members of any issues that may delay order
processing.
• Inbound Call Management:
o Handle incoming calls from patients, physicians, and other stakeholders.o Provide accurate assistance, direct inquiries as needed, and ensure a
professional tone at all times.
• Performance and Compliance:
o Meet and exceed the department’s performance metrics and quality
standards.
o Comply with internal work regulations and contribute to a positive and
collaborative team environment.
Required Profile
• Strong attention to detail and organizational skills.
• Excellent written and verbal communication abilities.
• Proficiency in using a computer and general office software tools.
• Comfortable working with document management systems and internal
databases.
• Ability to handle high-volume tasks with accuracy and efficiency.
• Intermediate English proficiency (minimum B2+ preferred).
• Availability to work on-site in Medellín, Colombia.
• Prior experience in logistics, healthcare documentation, or administrative roles
is a plus.
